Notifications: how Scheduley keeps you in the loop

Your business runs itself — you still see everything

Scheduley handles calls, texts, and bookings on its own, so the question becomes: how do you know what it did? Six ways, each with its own switch. Here’s the full map.

1. Your Concierge — briefings and heads-ups

Each morning your Concierge — the assistant pinned at the top of your inbox — posts a short good-morning note written fresh for that day: how many appointments (or jobs) you have and when the first one starts, how many bookings and calls came in yesterday, and who’s waiting on the waitlist. The row gets an unread dot, the Inbox badge ticks up, and a note lands in your notification bell with a Read briefing → link straight to the thread.

These are controlled right where they arrive: open the Concierge and expand the Notifications panel at the top of the window. Three switches live there — Daily Briefing (the morning summary), Booking Updates (a line in the thread when your AI or your booking page books, reschedules, or cancels something), and Needs Your Attention (a heads-up when a conversation stalls or a caller flags an emergency).

2. Call summary texts

After every call your agent handles, you get a text: who called, what they wanted, how it ended. The full recording and transcript live in your calls inbox, and the matching bell notification has a View call → link that opens that exact call. The text has its own switch under Agent → SMS Auto-Replies.

3. Urgent alerts

When a caller describes an emergency — flooding, a gas smell, no heat — your agent flags the call mid-conversation and texts you instantly, while the caller is still on the line. The call also gets a red Urgent badge in your inbox either way. Toggle: “Text me the moment a call sounds urgent”.

4. The bell, Recent Activity, and Insights

The bell in your dashboard header collects everything — new bookings, call summaries, briefings — and Recent Activity on your home screen shows the same stream with one-tap links into the exact call or appointment. New bookings can also pop a banner and play a sound; both are switches on the Notifications page.

5. Needs your attention

Your home screen keeps a short list of the things only you can move forward: invoices past their due date, and conversations flagged urgent or waiting on you. Each row is a one-tap jump to the job or thread it’s about — and when everything’s handled, the card disappears entirely. Estimates waiting on a client decision live on the Jobs tab instead (the Est. pending filter and EST SENT chips).

6. Team notifications

Team members get texted when a booking lands on their schedule, moves, or is reassigned — and when a caller leaves a mid-call note like a gate code, it’s texted to whoever’s assigned. Toggle: “Notify team members when they get a booking”.

Where the switches live

Concierge messages (briefing, booking updates, needs-attention) are toggled in the Notifications panel at the top of the Concierge window. The text-message alerts — urgent calls, team notifications — plus the booking banner and sound live under Settings → Notifications, and the call-summary text under Agent → SMS Auto-Replies. Client-facing texts (reminders, confirmations) are covered separately in appointment reminders.
