Client history: formulas, photos, and every visit

The client’s whole story, one tap away

The best appointments start with remembering: the exact formula from last time, the photo of the cut she loved, the note that he’s sensitive to a certain developer. That memory usually lives scattered across a Notes app, a camera roll, and whoever happened to be behind the chair. Scheduley keeps it on the client — tap any row in Clients and their record opens.

Notes & formulas

A free-form space for everything you’d want at the chair: color formulas, preferences, allergies, “always books with Sarah.” Type, tap Save, and it’s there for every future visit. Whoever opens the client next — you or a teammate — starts with the full picture.

They’re also one tap away right where you need them: open any appointment on the Calendar and tap View client notes to see them in place — no detour to the Clients tab before a client sits down.

Photos & files

Tap + Add to attach photos or PDFs to the client: before & afters, inspiration shots the client texted you, patch-test records. They stay on the client across every visit — so “can we do what we did in the spring?” is a two-tap answer, not an archaeology dig.

Service history, visit by visit

Every appointment they’ve ever had — the service, the date and time, who did it, and whether it’s paid — newest first. Each visit takes its own note: tap + Add note and record what actually happened that day (“7N + 20 vol, 35 min — toned with 9V”). Client-level notes hold what’s always true; visit notes hold what happened when. Together they’re a full color history.

It builds itself

You never file anything. Bookings from calls, texts, DMs, and your booking page all land on the client automatically — the history grows every time they book. Your AI Front Desk already recognizes returning callers by number and greets them by name; the record you see is the same one it’s working from.

Trade business? The same idea lives one level up for you: jobs carry photos, documents, and visit history per work record — a remodel’s history stays on the remodel.
